Terms of Service

1. Acceptance of terms

By registering a conservancy or using the WildTrack CMS platform ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

2. Description of service

WildTrack CMS is a web-based management platform for Namibian community conservancies. It provides tools for member management, staff and payroll administration, wildlife monitoring, financial management, and reporting.

3. Account registration

• Each conservancy must register separately and receive platform approval before accessing the Service.
• You are responsible for maintaining the confidentiality of your login credentials.
• You must provide accurate information during registration.
• One conservancy admin account is created per conservancy registration.

4. Data ownership

All data entered into the platform by your conservancy remains the property of your conservancy. WildTrack CMS does not claim ownership of your conservancy's data, including member records, staff information, financial transactions, or wildlife data.

5. Data isolation

Each conservancy's data is strictly isolated. No conservancy can access another conservancy's data. Platform administrators can access data for support and compliance purposes only.

6. Payroll and financial data

WildTrack CMS processes payroll and financial records on your behalf. You are responsible for the accuracy of salary information, allowances, and deductions entered into the system. WildTrack CMS is not liable for errors arising from incorrect data entry.

7. Acceptable use

• You may not use the Service for any unlawful purpose.
• You may not attempt to access data belonging to other conservancies.
• You may not upload malicious files or attempt to compromise system security.
• You may not share your login credentials with unauthorised persons.

8. Service availability

We strive for maximum uptime but do not guarantee uninterrupted service. Scheduled maintenance will be communicated in advance where possible.

9. Termination

Your account may be suspended or terminated if you violate these terms, fail to pay applicable fees, or if your conservancy is no longer active. You may export your data at any time before termination.

10. Limitation of liability

WildTrack CMS is provided "as is". To the maximum extent permitted by Namibian law, we are not liable for any indirect, incidental, or consequential damages arising from your use of the Service.

11. Governing law

These terms are governed by the laws of the Republic of Namibia.
